Every new referral from the practice website had to be read, logged in a spreadsheet, matched with an available associate, and forwarded by hand. Each one took five to six minutes, several times a day.
The idea: let the practice's own tools do the work, inside the Google Workspace they already use, with nothing new to log in to.
What was built: an automation that reads each website submission, fills in the spreadsheet, pairs the referral with an available associate, and forwards it to them. The whole flow takes one to three seconds.

From form to therapist in seconds
A new enquiry is read, logged, and matched to an available associate the moment it arrives, then forwarded with everything they need to reach out.

Built inside the tools they already use
It runs in the practice's own Google Workspace: their Gmail, their spreadsheet, their labels. Nothing new to log in to, and nothing for the team to learn.

In their words

A good problem: fuller caseloads
Referrals hear back faster, and associates' caseloads went up. Minutes of admin became seconds, and the time went back to clients.
